  • Data are neither sold nor passed to third parties for marketing; sharing is limited to essential providers (payments, e-mail, hosting) and legal obligations.
  • You may access, rectify, erase, object to or request the portability of your data by writing to contacto@amia.co.mz.
  • The platform uses essential cookies (language and session). Analytics tools will only be activated with prior consent.
  • AMIA follows the applicable Mozambican legislation and international good practice in data protection.

This summary is for guidance only. In the event of any discrepancy, the full text below prevails.

01Data controller

The entity responsible for processing the personal data collected through this platform and its associated services is the Mozambican Association of Artificial Intelligence (AMIA), a non-profit association with its registered office in Maputo City, Republic of Mozambique.

Any question regarding this Policy or the processing of personal data may be addressed to contacto@amia.co.mz, with «Data protection» in the subject line. The full address of the registered office will be published on the Contacts page once the governing bodies are installed.

This Policy applies to the amia.co.mz platform, the Member Portal, the Radar AMIA newsletter, the contact, membership, partnership, event registration and AI Map of Mozambique submission forms, and to communications with AMIA by e-mail, telephone or WhatsApp. AMIA processes personal data in accordance with the applicable Mozambican legislation and international good practice in data protection, privacy and information security.

02Data we collect

AMIA collects only the data necessary for each purpose. Depending on how you interact with us, the following data may be processed:

  • Contact and partnership forms: name, e-mail, organisation, role, subject and content of the message.
  • Membership and Member Portal: full name, e-mail, telephone, organisation, role, member category, province, access credentials (the password is stored in encrypted form and never in plain text), membership fee history, receipts and member certificate.
  • Event registration: name, e-mail, organisation, role, any accessibility needs or restrictions you choose to indicate, and the QR ticket code associated with the registration.
  • Radar AMIA newsletter: e-mail and, if you select them, your preferred content categories.
  • Membership fee payments: chosen method, payment reference, mobile number linked to the mobile wallet (M-Pesa or E-Mola) and payment status. AMIA does not store full bank card numbers, security codes or PINs.
  • Technical data: IP address, browser and device type, pages visited, date and time of access, preferred language and cookies, as described in section 7.

AMIA does not deliberately collect special categories of data — ethnic origin, political opinions, religious beliefs, health or biometric data. Please do not include such information in messages or forms.

Launch noteThe Member Portal and the payment modules are in a demonstration phase. The records shown there are fictitious and clearly identified as demonstration data.

03Purposes and legal bases

Personal data are processed for specified, explicit and legitimate purposes. Each purpose has a legal basis:

  • Responding to contact, press and partnership requests — steps taken at the data subject's request and AMIA's legitimate interest in replying to those who contact it.
  • Managing membership, fees, receipts and the member certificate — performance of the membership relationship provided for in the statutes and compliance with accounting and tax obligations.
  • Processing event registrations and issuing tickets — fulfilment of the data subject's request and the safe organisation of events.
  • Sending Radar AMIA and institutional communications — the data subject's consent, which may be withdrawn at any time via the unsubscribe link in every mailing.
  • Ensuring platform security, preventing fraud and abuse — the legitimate interest of AMIA and its users.
  • Producing aggregated usage statistics — consent, in the case of analytics cookies, or legitimate interest where the data are anonymised beforehand.
  • Complying with legal obligations — a legal obligation to which AMIA is subject.

AMIA does not sell personal data, does not pass them on for third-party marketing purposes and does not make solely automated decisions with legal or similarly significant effects on data subjects.

04Sharing with third parties

AMIA shares personal data only where necessary to provide the requested service or to comply with the law, and always limits sharing to what is strictly indispensable:

  • Payment service providers — M-Pesa, E-Mola, banks and the card gateway provider receive only the data necessary for the transaction (reference, amount, mobile number or card details entered directly on the provider's platform).
  • E-mail and newsletter delivery services — to deliver replies, confirmations, receipts and Radar AMIA.
  • Hosting and technical infrastructure — the platform, the Portal and backups are hosted with providers bound by contractual confidentiality and security commitments.
  • Event co-organising partners — only the list of participants needed for organisation and access control, and only where the participant is informed at the time of registration.
  • Public authorities — where required by law, court order or a competent authority.

All providers act on AMIA's instructions and are bound by confidentiality and security obligations. AMIA does not pass on member lists to partners, sponsors or advertisers. A member's inclusion in the public ecosystem directory always depends on the member's express authorisation.

05Retention

Personal data are retained only for as long as necessary for the purposes for which they were collected, according to the following criteria:

  • Contact messages and partnership requests — for as long as needed to handle the request and any follow-up arising from it.
  • Member data — for the duration of the membership relationship and, after it ends, for the period required by accounting, tax and statutory legal obligations.
  • Payment records and receipts — for the statutory period applicable to accounting documentation.
  • Event registrations — until the event and its evaluation are concluded, unless the participant is a member or has consented to further communications.
  • Newsletter — until the subscription is cancelled.
  • Technical data and security logs — for a limited period, appropriate for incident detection and statistical analysis.

Once the applicable period has elapsed, data are erased or irreversibly anonymised.

06Data subjects' rights

As a data subject, you have the right to:

  • Access — obtain confirmation that your data are being processed and access them, together with information about the processing.
  • Rectification — correct inaccurate data or complete incomplete data.
  • Erasure — request the erasure of data when they are no longer necessary, when you withdraw consent or when the processing is unlawful, without prejudice to statutory retention periods.
  • Objection — object to processing based on legitimate interest and, at any time, to the sending of communications.
  • Restriction — request the restriction of processing while the accuracy of the data or the lawfulness of the processing is being verified.
  • Portability — receive the data you have provided in a structured, commonly used format and transmit them to another entity.
  • Withdrawal of consent — at any time, without affecting the lawfulness of processing carried out up to that point.

How to exercise them: send a request to contacto@amia.co.mz with the subject «Data protection», identifying yourself and stating the right you wish to exercise. To protect your data, AMIA may ask you to confirm your identity before acting on the request. A reply is given as quickly as possible and, in any event, within the legally applicable time limits. Members may also update their data directly in the Member Portal.

You also have the right to lodge a complaint with the competent data protection authority in the Republic of Mozambique.

07Cookies and similar technologies

A cookie is a small text file stored on your device by the browser. The AMIA platform uses cookies and similar technologies in a limited way:

  • Essential cookies — necessary for the platform to work: language preference (the amia_locale cookie), the Member Portal session and security mechanisms. They do not require consent and cannot be disabled without affecting the service.
  • Preference cookies — store choices such as dismissing notices you have already read.
  • Analytics cookies — intended to measure, in aggregate, the use of the platform and to improve the content.

In preparationAMIA does not yet use third-party analytics tools. When they are activated, your prior consent will be requested and this section will be updated to identify the tools and their retention periods.

You can manage or delete cookies in your browser settings. Disabling essential cookies may prevent access to the Portal or the remembering of your chosen language.

08Security

AMIA adopts appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration or improper disclosure, in particular:

  • Encrypted communications (HTTPS) between your device and the AMIA platform.
  • Encrypted storage of passwords and a policy of personal, non-transferable credentials.
  • Role-based access control: only those who need to access the data for the purposes described may do so.
  • Logging of administrative operations on member and payment data.
  • Data minimisation, backups and incident response procedures.
  • Contractual confidentiality and security commitments from service providers.

No system is entirely free of risk. In the event of a security incident affecting your personal data, AMIA will inform you, as well as the competent authorities, in accordance with the applicable law.

09Minors

The platform, the Member Portal and the membership services are intended for persons aged 18 or over. AMIA does not knowingly collect personal data from minors without the authorisation of their legal representatives.

In initiatives aimed at students or schools — literacy programmes, competitions or training — data on minors are collected exclusively through educational institutions or with the written authorisation of parents or guardians, and limited to the data indispensable to the activity.

If you become aware that a minor has provided data to AMIA without due authorisation, please contact us so that we can erase them.

10International transfers

AMIA favours providers and infrastructure located in Mozambique or in jurisdictions that ensure an adequate level of data protection. Some technical services — such as e-mail delivery, hosting or content distribution — may involve the processing of data outside the national territory.

In such cases, AMIA ensures that the transfer is based on appropriate safeguards, in particular contractual commitments binding the provider to a level of protection equivalent to that described in this Policy, and that the data transferred are limited to what is necessary for the service in question.

11Changes to this Policy

This Policy may be updated to reflect legal changes, new services or improvements in AMIA's practices. The version in force is always the one published on this page, with its update date. Significant changes are communicated to members and Radar AMIA subscribers via the contact details provided.

This version was published on 22 August 2026 and applies from that date.
